HR Coordinator & Office Manager – Part-Time/Full-Time

We are looking for a Human Resources Coordinator & Office Manager to join our team on a full-time or part-time basis for approximately 25-40 hours per week to be worked between Monday and Friday. The hours of work will be determined based on the work activities, timelines and candidate availability. We are open to flexibility including shorter workdays, reduced workdays, split shifts, etc. We are also open to considering hybrid work arrangements. 

  

The Opportunity

The Human Resources Coordinator and Office Manager is responsible for providing various human resources and office management responsibilities to facilitate the efficient functioning of the office. 

 

Key Responsibilities

Human Resources

– Provide general support and implementation of human resources programs and services
– Facilitate and coordinate the recruitment and selection process with Hiring Manager(s) including the preparation of job postings/advertisements, receiving and filing resumes, shortlisting candidates, scheduling interviews, reference checks, contract/offer packages, and preparing candidate correspondence, career fair presentations
– Coordinate activities throughout the employee lifecycle: new hire orientation, onboarding and offboarding 
– Maintain Resource Management Tool and supporting forms to support Formal Supervisors with resource planning
– Respond to general employee queries and provide support to supervisors in the interpretation and use of HR policies, processes and programs
– Assist in resolving routine and moderately complex employee relations matters

 

Office Management

– Provide day-to-day oversight and feedback to the administrative assistant
– Provide support to ownership group to help achieve company goals & initiatives
– Liaise and maintain relationships with vendors, suppliers, consultants
– Oversee general office administration functions including document preparation, data entry, record/filing system management
– Coordinate day-to-day office management functions such as office security, parking stall assignment, workspace assignment, IT employee requirements.
– Coordinate and facilitate event planning and related activities including employee social events, client events, etc. 
– Manage the development of marketing related materials: brochures, business cards, swag/team wear, promotions with administrative staff.
– Provide oversight to all organization websites and social media accounts with administrative staff and group managers.
– Manage and coordinate sponsorship and promotional opportunities as directed.

What you have

– Must be authorised to work in Canada
– High school diploma and currently enrolled or completed post-secondary program in business with a speciality in human resources
– Minimum 5 years experience in office management and administration and/or human resources administration
– An equivalent combination of education and experience may be considered
– Proficiency and experience with Microsoft Office Suite
– Understanding of relevant legislation
– Ability to deal with confidential information in a professional manner and understand the confidential nature of the position.
– Thorough knowledge and proficiency of standard office equipment and procedures.
– Understanding of personnel records management.
– Excellent attention to detail, organizational and record-keeping skills
– Ability to work independently and take initiative.

This position provides applicants with an opportunity to apply their  knowledge in a professional environment and gain valuable experience working alongside experienced Project  Managers, Designers and Engineers with opportunities to provide field assistance and resident engineering  services during the construction season. This position is a mix of office and field work. 

 

Schedule – Work Week: Monday-Friday (40 hrs with the possibility of overtime and weekend work) 

 

Travel: Could be required, most of our projects are local. Any travel required would be in Saskatchewan.

Core Responsibilities 

Assist with various tasks relating to design projects, including preliminary field observation, data  compilation, reports, modelling, cost estimates, specifications, and project manuals; 

Assist with topographic surveys, construction layout surveys and record surveys for water, sewer,  roadways and earth moving projects using GPS, manual and robotic Total Station, multi-rotor UAV (drone), digital and optical level; 

Assist with administering and managing construction contracts, progress certificates and progress  payments; 

Provide resident engineering services on-site if required by the client; 

Assist with project field management 

Coordinate, schedule, attend meetings, take minutes and distribute as required (meetings could be  internal, client, contractor, project, etc.) ;

Complete site observations for municipal, transportation and asset management-related projects.  Complete related reports. Ensure contractors are constructing works in accordance with design plans and  specifications; 

Provide regular updates and verbal reports on project status and progress; 

Maintain complete and accurate field notes; 

Read and understand project scope, specifications and drawings; 

Provide support to Project Managers, Engineers, Technologists and design team;  

Assist with office requirements as required (filing, photocopying, scanning, etc.). 

 

Who We Are Looking For 

Civil Engineering or Environmental Engineering student, who has completed at least their 3rd year of  study; 

Eligible for enrolment in the EPIP internship program, in the field of Civil Engineering or Environmental  Engineering; 

Must have a reliable vehicle for work and maintain a valid Saskatchewan Drivers License and insurance; 

Interest in municipal infrastructure systems and practices for water and sewer systems, drainage,  transportation, etc.; 

Displays reliable and trustworthy presence and strong work ethic; 

Treats all information and materials in a confidential manner; 

Effectively manages time and can tend to several projects concurrently; 

Ability to be organized, work quickly and accurately under pressure with a strong eye for detail; 

Strong interpersonal, customer service and communication skills; 

Be resourceful in research, increase product knowledge and demonstrate a sense of practical design; 

Confident with computer programs such as CAD/CIVIL 3D and fluent with MS Office;  

Maintain practical and professional demeanor in difficult and stressful situations; 

Strong awareness of health and safety and possess a safety-conscious attitude; 

Must be willing to travel and work out of town (expenses will be paid for this occurrence); 

Must have your own steel-toed boots (CSA approved). 

Physically active with the capability of regularly lifting or moving up to 50 lbs.

What’s the Position 

Catterall & Wright has temporary opportunities available for Surveying Assistant(s) to join our survey team. A large  component of this position will involve field work and travel to various sites and projects within Saskatchewan  gaining valuable experience to industrial, residential and commercial surveying supporting our land development,  drainage and municipal infrastructure projects. This position provides applicants with an opportunity to utilize the  latest survey technology in an exciting and innovative environment and gain valuable knowledge about the role of  geomatics in land development projects.

Assist with surveys related to the construction of residential, commercial & industrial land development  projects and municipal infrastructure projects such as pipelines, wastewater, lagoons and roadways; 

Assist with preliminary topographic surveys, record surveys and data collection tasks for design purposes; 

Assist with legal surveys such as boundary confirmation, right-of-way postings, cadastral restoration  surveys, building layouts and subdivision projects; 

Assist UAV pilot with flight preparation and UAV field projects; 

Assist with operating survey equipment such as GPS, manual and robotic Total Station, multi-rotor UAV (drone), digital and optical level; 

Assist with inspection services such as water tests, pressure tests, load tests, density tests,  

Assist with construction site monitoring including reviewing and enforcing project specifications and  providing verbal reports to the project manager with regards to project status and progress;

Assist with quantity tracking surveys for progress certificate submissions; 

Assist with observations reports, survey field notes and daily safety submissions; 

Assist with equipment, truck or yard duties and maintenance; 

Assist with office requirements as required (filing, photocopying, scanning, etc.).

Co-operative Education Program

We are happy to provide Saskatchewan Polytechnic students with paid work term placements. We have worked with students from the following programs: Civil, Geomatics, Water Resources, Engineering Design & Drafting, and Architectural & Interior Technology. The four to eight month placements allow students to integrate their classroom theory with full time employment experience. Some of the participants of this program are now full time permanent employees at our office.
